What Participants Can Expect

Non‑Discrimination Policy

Camp S.W.A.G. is committed to providing an inclusive, welcoming, and equitable environment for all participants, families, staff, and volunteers. Camp S.W.A.G. does not discriminate on the basis of race, color, national origin, sex, gender identity, gender expression, religion, age, sexual orientation, disability, medical condition, or family structure in the provision of services, programs, activities, or employment opportunities.

Any participant or parent/guardian who believes they have experienced discrimination or harassment based on any protected characteristic should report the concern to Camp S.W.A.G. staff immediately. All reports will be reviewed promptly, handled confidentially to the extent possible, and addressed in accordance with Camp S.W.A.G.’s policies and procedures. Retaliation against anyone who makes a good‑faith report is strictly prohibited.

Age Verification

Camp S.W.A.G. provides age‑appropriate programming to ensure safety, developmental alignment, and a positive experience for all participants. For this reason, the participant’s age as of the program’s designated cut‑off date must be accurately provided at the time of registration.

Camp S.W.A.G. reserves the right to request legal documentation (such as a birth certificate) to verify a participant’s age. If requested documentation is not provided within 24 hours, Camp S.W.A.G. may dismiss the participant from the program. No refunds will be issued in cases of dismissal due to failure to provide required age verification.

Program Acceptance & Right to Refuse Participation

Camp S.W.A.G. makes every effort to ensure that all youth have the opportunity to participate in our programs. However, we reserve the right to refuse acceptance into any program if it is determined that we cannot safely, appropriately, or reasonably meet a participant’s needs, or if participation would compromise the safety, well‑being, or experience of other participants or staff.

If a participant is not accepted into a program, families will receive a refund in accordance with the official Camp S.W.A.G. Refund Policy.

Parents/guardians may request a meeting with the Camp S.W.A.G. Directors to discuss the decision, review the factors involved, and explore any available options or alternative placements.

Our leadership foundations are designed for high-engagement, large-group environments. Acceptance is based on the program’s ability to maintain a safe 1:35 adult-to-student supervision ratio. If a participant’s needs require consistent one-on-one adult redirection or dedicated supervision, we may determine that our current staffing model cannot safely or reasonably meet those needs.

As outlined in our official Refund Policy, no refunds or credits will be issued for dismissals resulting from a participant’s inability to meet the program’s Readiness Standards or the 1:35 group supervision requirements.

Babysitting

Any babysitting arrangements made with current or former Camp S.W.A.G. staff are strictly personal agreements between the staff member and the parent/guardian. These arrangements are not connected to or endorsed by Camp S.W.A.G. in any way. Camp S.W.A.G. is not responsible for supervision, actions, claims, or liability arising from private babysitting activities.

Behavior Management

Camp S.W.A.G. uses praise, positive reinforcement, and supportive guidance as the primary methods of behavior management. We believe that when participants receive positive and understanding interactions, they develop healthy self‑concept, problem‑solving skills, and self‑discipline.

When behavior concerns arise, Camp S.W.A.G. follows a progressive approach:

  • Verbal Warning: Participants receive a quiet, respectful verbal reminder about expectations.
  • Behavior Action Plan: If behavior continues, staff will work with the participant and parent/guardian to identify concerns and develop appropriate strategies for improvement.
  • First Incident Report: If behavior does not improve after the Behavior Action Plan, a written Incident Report will be provided to the parent/guardian.
  • Second Incident Report: Continued behavior issues may result in a second Incident Report and a suspension of up to two full program sessions. No refunds will be issued for suspended days.
  • Third Incident Report: Ongoing behavior concerns may result in a third Incident Report and possible dismissal from all Camp S.W.A.G. programs. A suspension of two full days may be issued while the Camp S.W.A.G. Directors review the incident. No refunds will be issued.

Note: No refunds or credits will be issued for suspension or dismissal due to behavior or an inability to maintain the safety and engagement standards of our 1:35 leadership environment.

Immediate Suspension or Dismissal

Certain behaviors may result in immediate suspension or dismissal from all Camp S.W.A.G. programs, including but not limited to:

  • fighting or physical aggression
  • theft or vandalism
  • bullying or cyberbullying
  • possession of weapons, drugs, or illegal substances
  • severe verbal threats
  • sexual misconduct
  • any behavior that compromises safety

No refunds will be issued for suspension or dismissal due to behavior.

Additional Notes

  • Participants will not be disciplined for behavior that occurs outside program hours, even at parental request.
  • Active participation during program hours is required for continued enrollment.
  • Students are expected to uphold the values of leadership, respect, and responsibility at all times.

No Bullying or Cyberbullying

Camp S.W.A.G. maintains a zero‑tolerance policy for bullying and cyberbullying. We comply with all state and local laws regarding harassment, intimidation, and bullying.

Any participant who engages in bullying or cyberbullying—whether verbal, physical, social, or digital—will be removed from all Camp S.W.A.G. programs immediately. No refunds will be issued.

Confidentiality

Camp S.W.A.G. staff respect the privacy of all participants and families. Staff will not discuss confidential matters or personal information with anyone outside of authorized Camp S.W.A.G. personnel unless written permission is provided by the parent/guardian.

Participants are expected to respect the privacy of others by not sharing personal information or images of fellow participants on social media platforms such as Facebook, Instagram, TikTok, Snapchat, or similar sites.

Camp S.W.A.G. staff are prohibited from sharing personal information or images of participants or staff on personal social media accounts or discussing participant information outside the workplace.

Field Trips Policy

Camp S.W.A.G. may transport participants offsite for field trips using vehicles owned, leased, or contracted by Camp S.W.A.G., operated by licensed bus drivers and/or authorized Camp S.W.A.G. staff.

Late Arrival for Field Trips

Buses will depart the program location at the scheduled time and will not be delayed for late arrivals. If a participant arrives after departure, it is the responsibility of the parent/guardian to:

  • transport the participant directly to the field trip location, and
  • sign the participant in with a Camp S.W.A.G. staff member upon arrival.

Participants may not be left unattended at the program site when staff have departed for a trip. No refunds or credits will be issued for missed field trips.

Camp S.W.A.G. assumes responsibility for participants only after they have been signed in with program staff.

Early Pick‑Up During Field Trips

If a parent/guardian needs to pick up a participant while the group is offsite, the parent/guardian must:

  • pick up the participant at the field trip location, and
  • provide confirmation of early release prior to the participant being dismissed.

Attire

Participants are required to wear Camp S.W.A.G. branded attire on all field trips for safety, visibility, and group identification.

Field Trip Fundraising

Leadership participants may coordinate and participate in fundraising activities to help offset the cost of field trips.

Chaperones

Parents/guardians are welcome and encouraged to serve as chaperones, pending approval and completion of any required forms or background checks.

Health Requirements

Some field trips may require additional vaccinations, health documentation, or waivers depending on the destination or activity. Families will be notified in advance if additional requirements apply.

Food Policy

Any food brought into a Camp S.W.A.G. program for participants must be store‑bought and include clearly labeled ingredient information. Due to allergy and safety concerns, homemade food items are not permitted in any Camp S.W.A.G. program.

Illness/Injury Policy

Camp S.W.A.G. is committed to maintaining a safe and healthy environment for all participants. To protect the well‑being of the group, participants must remain home if they have experienced any of the following within the past twenty‑four (24) hours:

  • contagious conditions such as fever of 100°F or higher without fever‑reducing medication, diarrhea, vomiting, sore throat, undiagnosed rash, COVID‑19, chicken pox, pink eye, ringworm, head lice, or any other potentially contagious illness
  • physical injuries that prevent safe participation in program activities

If a participant develops symptoms or shows signs of illness or injury during a Camp S.W.A.G. program:

  • parents/guardians will be contacted and must pick up the participant within one hour
  • the participant will be separated from the group while awaiting pick‑up to minimize exposure and ensure comfort

Participants may return to the program when:

  • they have been symptom‑free for at least 24 hours, or
  • a doctor provides written documentation stating the participant is not contagious and can safely participate

If you suspect your child has a contagious condition that could spread to others, please notify a Camp S.W.A.G. Director as soon as possible.

Communicable Diseases

If a student is diagnosed with a communicable disease:

  • parents/guardians must notify the Academy as soon as possible
  • a doctor’s note may be required for return
  • the Academy may implement additional precautions based on public health guidance

Camp S.W.A.G. follows all state and local health regulations regarding communicable diseases.

Do not return a participant to the program until you have communicated with a Camp S.W.A.G. Director and received approval to return.

Lost/Stolen Items Policy

Camp S.W.A.G. is not responsible for any personal items that are lost, damaged, or stolen during Camp S.W.A.G. programs. Participants are encouraged to label all belongings with their name and/or telephone number. Any found items should be turned in to Camp S.W.A.G. staff immediately. Unclaimed items may be donated or discarded after a reasonable holding period.

Movies

Movies may be shown to participants during Camp S.W.A.G. programs. Parents/guardians will be notified of movie titles in advance. Only movies rated G, PG, or PG‑13 will be shown, and selections will be age‑appropriate and aligned with program activities.

Camp S.W.A.G. Participant Sign‑Out

For the safety of all participants, Camp S.W.A.G. requires that every participant be signed out at the end of each program session.

  • Participants may only sign themselves out if written permission has been provided by the parent/guardian on the Participant Registration Form.
  • If self‑sign‑out permission is not granted, a parent/guardian or an individual listed as an authorized pick‑up person must sign the participant out each day.
  • Camp S.W.A.G. staff and volunteers may request a photo ID at any time to verify the identity of anyone picking up a participant, including parents and legal guardians.
  • Parents/guardians listed on the registration form may add or remove individuals from the authorized pick‑up list at any time.
  • Parents/guardians should inform all authorized pick‑up persons that a valid photo ID will be required.
  • Participants will not be released to anyone who cannot provide proper identification or who is not listed as an authorized pick‑up person.

Photography/Video Waiver

Camp S.W.A.G. may capture photographs or video clips of participants during program activities. These images may be used for marketing and promotional materials, staff and volunteer training, program documentation, and Camp S.W.A.G. websites, publications, social media pages, and other organizational communications. Participant names will not be published or associated with images or video clips.

All Camp S.W.A.G. program areas may maintain official social media sites, which are managed exclusively by authorized Camp S.W.A.G. staff. Images will never be sold, shared, or distributed to third parties outside of Camp S.W.A.G. for commercial purposes.

By participating in Camp S.W.A.G. programs, parents/guardians grant permission for their child’s image to be used as described above. Families who wish to opt out of photo or video use must submit a written request to Camp S.W.A.G. prior to the start of the program.

Participants may not take photos or videos of other participants or staff for personal use or social media posting.

All photographs and video recordings taken by Camp S.W.A.G. are the property of Camp S.W.A.G.

Late Pick-Up Policy

Parents/guardians are expected to pick up participants on time at the end of each Camp S.W.A.G. program session. If you anticipate being late, please notify Camp S.W.A.G. as soon as possible.

A $50 late pick‑up fee will be charged if a participant is not picked up by the scheduled end time on non‑trip days, or within 10 minutes of the group’s arrival on trip days. On trip days, participants will contact their parent/guardian approximately one hour prior to arrival.

If a participant is not picked up within the designated time:

  • Camp S.W.A.G. staff will contact the parent/guardian using the numbers on file.
  • The participant will remain supervised until an authorized adult arrives.

Repeated late pick‑ups may result in suspension or dismissal from Camp S.W.A.G. programs. No refunds will be issued for missed time, suspension, or dismissal due to late pick‑up.

This policy ensures participant safety and respects staff time and program operations.

Important Note: If a parent/guardian or emergency contact cannot be reached within one hour of the scheduled pick‑up time, Camp S.W.A.G. staff may contact local law enforcement to ensure the student’s safety.

Additional Camp S.W.A.G. Policies & Safety Standards

Emergency Procedures

Camp S.W.A.G. prioritizes the safety and well‑being of every participant. In the event of an emergency:

  • Medical Emergencies Camp S.W.A.G. staff will assess the situation, administer basic first aid, and contact emergency medical services if needed. Parents/guardians will be notified as soon as possible.
  • Emergency Contacts Parents/guardians must ensure all emergency contact information is accurate and up to date.
  • Staff Training Select Camp S.W.A.G. staff members maintain current CPR and First Aid certifications.
  • Evacuation & Safety Protocols Camp S.W.A.G. follows established emergency procedures for fire, severe weather, and other safety threats. Participants are expected to follow staff instructions at all times.

Medication Policy

To ensure the safety of all participants:

  • Camp S.W.A.G. staff cannot administer medication, including over‑the‑counter products.
  • Participants who require medication during program hours must have:
    • Medication stored in original packaging
    • A completed Medication Authorization Form
    • Parent/guardian instructions on file
  • Participants may carry personal emergency medications (e.g., inhalers, EpiPens) with written authorization.
  • Staff must be notified of any medical conditions that may require emergency response.

Student Self‑Administration

Students may self‑administer certain medications (such as inhalers or EpiPens) only if:

  • the parent/guardian provides written authorization, and
  • the healthcare provider confirms the student is trained and capable of self‑administration.

Staff may assist only in accordance with state guidelines and the student’s approved medical plan.

Storage of Medication

  • All medication must be submitted directly to Academy staff at the start of each session or trip.
  • Medication will be stored securely and returned to the parent/guardian at dismissal.
  • Students may not carry medication in backpacks, pockets, or personal belongings unless authorized for self‑carry.

Medical Emergencies

In the event of a medical emergency:

  • Academy staff will follow the student’s emergency action plan,
  • administer emergency medication if authorized, and
  • contact emergency services and the parent/guardian immediately.

Technology & Personal Device Policy

To maintain a focused, safe, and respectful environment:

  • Cell Phone Use: This is a No Cell Phone program. While students may have a phone in their possession, it must remain off and stored away at all times. Use of cell phones is strictly prohibited unless specifically integrated into a leadership activity by the Director or staff.
  • Personal devices: Cell phones, tablets, smartwatches, and gaming devices must remain off and stored away during program hours unless specifically permitted by staff for a curriculum-based activity.
  • Audio Availability: To ensure the safety of our 1:35 group environment, participants must remain “audio-available” at all times. The use of total-noise-blocking headphones or earbuds that prevent a student from hearing safety cues or participating in group discussions is prohibited.
  • Collaborative Interaction: Our leadership curriculum is built on real-time peer interaction. Participants must be able to hear, respond to, and verbally engage with teammates and mentors. Students requiring sensory support are encouraged to use high-fidelity earplugs that reduce background volume while allowing human speech to remain audible.
  • Recording & Privacy: Recording, photographing, or live-streaming other participants or staff is strictly prohibited.
  • Responsibility: Camp S.W.A.G. is not responsible for any lost, stolen, or damaged personal devices.

Communication & Engagement Standards

To maintain the safety of our 1:35 group environment and ensure the success of our collaborative curriculum, all participants are expected to be fully present and “audio-available” during program hours.

  • Active Interaction: Our program is built on real-time peer-to-peer collaboration and 360-degree feedback. Participants must be able to hear, respond to, and verbally engage with their teammates and mentors without barriers.
  • Audio Awareness & Safety: For the safety of the cohort, students must be able to hear and immediately pivot to verbal instructions or safety cues provided by the Director or Youth Ambassadors.
  • Support Device Guidelines: The use of total-noise-blocking headphones or earbuds that prevent a student from participating in group discussions or hearing safety directions is not permitted during active sessions. Students requiring sensory support are encouraged to use high-fidelity earplugs that reduce background volume while allowing human speech and safety instructions to remain clearly audible.

Attendance & Participation Expectations

  • Participants are expected to attend all scheduled sessions.
  • Absences should be limited to illness, emergencies, or pre‑approved reasons.
  • Excessive absences may affect eligibility for certain activities or leadership roles.
  • Make‑up sessions are not guaranteed.

Parent/Guardian Communication Standards

  • Use official communication channels (email, phone, approved platforms).
  • Staff respond within reasonable business hours.
  • Parents must maintain respectful communication with staff and participants.
  • Program updates will be shared through official channels only.

Weather Policy

Camp S.W.A.G. follows safety guidelines for outdoor programming:

  • Outdoor activities may be modified or canceled due to extreme heat, lightning, severe storms, or unsafe conditions.
  • Heat index and air quality are monitored throughout the day.
  • Indoor alternatives will be provided when possible.
  • If a full program day must be canceled due to weather, families will be notified promptly.

Daily Transportation Policy

To ensure smooth and safe transitions:

  • Parents/guardians must follow designated drop‑off and pick‑up procedures.
  • Participants may only be released to individuals listed on the Authorized Pick‑Up List.
  • Carline safety rules must be followed at all times.
  • Late pick‑up fees apply as outlined in the Late Pick‑Up Policy.

Parent/Guardian Code of Conduct

To maintain a positive and respectful environment:

  • Parents/guardians must treat staff, volunteers, and participants with courtesy and respect.
  • Harassment, intimidation, or disruptive behavior will not be tolerated.
  • Parents/guardians may not interfere with program activities or discipline procedures.
  • Violations may result in restricted access to program spaces or dismissal from the program.

Social Media & Digital Safety Policy

To protect participant privacy and maintain a safe digital environment:

  • Participants may not record, photograph, or post images/videos of other participants or staff.
  • Participants may not post content that references Camp S.W.A.G. in a negative, harmful, or unsafe manner.
  • Staff may not connect with participants on personal social media accounts.
  • Official Camp S.W.A.G. social media pages are managed exclusively by authorized staff.

Camp S.W.A.G. Prohibited Behavior

Camp S.W.A.G. maintains high expectations for student behavior to ensure a safe, respectful, and leadership‑focused learning environment. All students are expected to treat peers, staff, and community members with dignity, respect, and professionalism at all times.

To ensure the safety of all students and staff, Camp S.W.A.G. strictly prohibits the possession, use, or distribution of weapons or dangerous items on any property or location used by Camp S.W.A.G.

Prohibited items include:

Students may not possess, display, or use any tobacco or vaping product at any time during Camp S.W.A.G. sessions, events, or capstone travel.

🚫 Prohibition of Gangs & Gang‑Related Activity

Gang‑related behavior is strictly prohibited. This includes:

  • 🧢 Wearing or displaying gang‑related clothing, jewelry, symbols, or colors
  • 🤟 Using verbal or non‑verbal gestures associated with gangs
  • 🖊️ Tagging or defacing property with gang‑related symbols or slogans

Any student who engages in gang‑related activity will be removed from the Camp S.W.A.G. immediately. No refunds or credits will be issued.

Students must use technology responsibly and follow all Camp S.W.A.G. digital safety expectations.

Students who misuse technology or disrupt Camp S.W.A.G. operations may be removed from the program. No refunds or credits will be issued.

Release, Waiver of Liability & Indemnity Policy

Participation in Camp S.W.A.G. programs involves a variety of indoor and outdoor activities that may include physical movement, recreational games, field trips, transportation, and interactions with peers. While Camp S.W.A.G. takes reasonable measures to promote safety, all activities involve inherent risks.

Assumption of Risk

By enrolling a participant in Camp S.W.A.G. programs, parents/guardians acknowledge and accept that participation may involve inherent and other risks, including but not limited to:

  • slips, trips, falls, or collisions
  • inclement weather or environmental conditions
  • travel‑related incidents during transportation
  • equipment malfunctions or misuse
  • interactions with other participants
  • general risks associated with recreational, educational, and group activities

Camp S.W.A.G. cannot eliminate all risks associated with program participation, and some risks may be unknown or unanticipated.

Parents/guardians voluntarily allow their child to participate with full knowledge of these risks and accept full responsibility for any injury, illness, or other loss that may occur.

Release of Liability

By participating in Camp S.W.A.G. programs, families agree that Camp S.W.A.G., its employees, volunteers, contractors, and agents are not liable for injuries, illnesses, accidents, property damage, or other losses that may occur during program activities, whether on‑site or off‑site, including those arising from:

  • participation in scheduled or unscheduled activities
  • use of facilities, equipment, or program spaces
  • transportation to and from activities
  • actions of other participants
  • ordinary negligence

This release does not apply to incidents involving gross negligence or intentional misconduct.

Parental Authority

By enrolling a minor participant, the parent/guardian affirms that they are legally authorized to make decisions on behalf of the child and to agree to the policies outlined in this document.

Parents/guardians understand that Camp S.W.A.G. cannot be held responsible for claims brought on behalf of a minor participant and acknowledge that participation is voluntary.

Agreement to Follow Policies

Participation in Camp S.W.A.G. programs requires compliance with all program rules, safety procedures, and reasonable instructions provided by Camp S.W.A.G. staff and volunteers. Failure to follow policies may increase risk and may result in removal from the program.

Indemnification

Parents/guardians agree to indemnify and hold Camp S.W.A.G., its employees, volunteers, contractors, and agents harmless from any claims, damages, losses, or expenses (including attorney’s fees) arising from:

  • their child’s participation in Camp S.W.A.G. programs
  • their child’s actions that cause injury or damage to others
  • failure to follow Camp S.W.A.G. rules, policies, or staff instructions

This includes claims brought by the participant, family members, or third parties.

Outside Employment Disclaimer

Camp S.W.A.G. does not authorize or supervise staff who provide private services (such as babysitting or tutoring) outside of official Camp S.W.A.G. programming. Camp S.W.A.G. is not responsible for any actions, supervision, or liability related to private arrangements between staff and families.

Photo & Video Use

Camp S.W.A.G. may capture photos or videos of participants during program activities for:

  • program documentation
  • staff and volunteer training
  • marketing and promotional materials
  • publications, websites, and social media
  • organizational communications

Participant names will not be published. Images will not be sold or shared with third parties for commercial purposes. Families who wish to opt out must submit a written request prior to the start of the program.

All photos and videos taken by Camp S.W.A.G. are the property of Camp S.W.A.G.
